We understand that circumstances can change, and we have designed our return policy to be fair and accommodating while allowing us to manage our business effectively. This policy outlines our procedures for cancellations, refunds, and rescheduling of art jam sessions and related services.

We encourage you to read this policy carefully before making a booking. By booking a session with us, you acknowledge that you have read and agree to the terms outlined in this Return Policy. If you have any questions about our policy, please contact us before making your reservation.

Our goal is to ensure that every customer has a positive experience with us, from booking through completion of their session. We strive to handle each situation fairly and with understanding.

Session Cancellation by Customer

We understand that plans can change, and we have established the following cancellation guidelines:

Cancellations Made 14 or More Days Before the Scheduled Session: If you cancel your booking at least 14 days before your scheduled session, you are eligible for a full refund of any payments made. We will process your refund within 5-10 business days of receiving your cancellation request.

Cancellations Made 7-13 Days Before the Scheduled Session: If you cancel your booking between 7 and 13 days before your scheduled session, you are eligible for a refund of 50% of the total booking amount. Alternatively, you may choose to reschedule your session to a different date without penalty, subject to availability.

Cancellations Made Less Than 7 Days Before the Scheduled Session: Cancellations made less than 7 days before the scheduled session are not eligible for a refund. This is because we have already made preparations for your session, including reserving space, preparing materials, and allocating staff. However, you may reschedule your session to a different date, subject to a rescheduling fee of 25% of the booking amount.

No-Shows: If you fail to attend your scheduled session without notifying us, this will be considered a no-show and no refund will be provided. We understand that emergencies happen, so please contact us as soon as possible if you are unable to attend.

Session Cancellation by Xodralinvim

In rare circumstances, we may need to cancel a session due to circumstances beyond our control. These circumstances may include:

  • Severe weather conditions that make travel unsafe
  • Facility emergencies or unexpected closures
  • Facilitator illness or emergency
  • Insufficient enrollment for group sessions
  • Other unforeseen circumstances that prevent us from safely conducting the session

If we must cancel your session, we will notify you as soon as possible using the contact information you provided. You will have the option to either reschedule to a future date at no additional cost or receive a full refund of any payments made.

We will make every effort to provide alternative options that work with your schedule. If you choose a refund, we will process it within 5-10 business days of your request.

Rescheduling Policy

We are happy to accommodate rescheduling requests when possible. Our rescheduling policy is as follows:

Rescheduling Requests Made 14 or More Days Before the Scheduled Session: You may reschedule your session to any available date without penalty. Simply contact us with your preferred new date, and we will do our best to accommodate your request.

Rescheduling Requests Made 7-13 Days Before the Scheduled Session: You may reschedule your session to any available date without penalty. We ask that you reschedule within 60 days of your original session date.

Rescheduling Requests Made Less Than 7 Days Before the Scheduled Session: Rescheduling is still possible but may be subject to a rescheduling fee of 25% of the booking amount, depending on circumstances. We evaluate these requests on a case-by-case basis and try to be as accommodating as possible.

All rescheduled sessions must be completed within 90 days of the original booking date unless otherwise agreed in writing. Sessions cannot be rescheduled more than twice without incurring additional fees.

Group Booking Modifications

For corporate and group bookings, we understand that participant numbers may change. Our modification policy for group bookings is as follows:

Reductions in Group Size: If your group size decreases after booking, please notify us as soon as possible. For reductions communicated 7 or more days before the session, we will adjust the final invoice accordingly. For reductions communicated less than 7 days before the session, the original quoted price may apply.

Increases in Group Size: We are usually happy to accommodate additional participants if notified in advance. Please contact us as soon as possible if you need to add participants, as this may affect available dates and pricing.

Participant Substitutions: You may substitute one participant for another at any time without penalty, provided the overall group size remains the same. Simply notify us of the change before the session begins.

Refund Processing

When a refund is approved, we process it using the original payment method whenever possible. Refund processing times are as follows:

Credit or Debit Card Payments: Refunds will be credited to the original card within 5-10 business days, depending on your card issuer. Some banks may take longer to reflect the credit on your statement.

Bank Transfers: If you paid by bank transfer, refunds will be processed within 5-10 business days. You may be asked to provide bank account details for the refund.

Cash Payments: If you paid in cash, you may choose to receive a refund by check or bank transfer. Please contact us to arrange the most convenient method.

We will send email confirmation when your refund has been processed. If you do not receive your refund within the expected timeframe, please contact your bank or payment provider first, then reach out to us if the issue persists.

Gift Certificates and Vouchers

Gift certificates and vouchers purchased from Xodralinvim are subject to the following terms:

Gift certificates are valid for 12 months from the date of purchase unless otherwise stated. The expiration date will be clearly indicated on the certificate.

Gift certificates are non-refundable but may be transferred to another person. The recipient may use the certificate to book any available session of equal or lesser value.

If the recipient books a session of greater value than the gift certificate, they may pay the difference at the time of booking. Gift certificates cannot be exchanged for cash.

Lost or stolen gift certificates may be replaced if you can provide proof of purchase. Please contact us with the original purchase information, and we will issue a replacement.

Promotional Offers and Discounts

Sessions booked using promotional codes, special offers, or discounted rates may be subject to different cancellation and refund terms. Any modified terms will be clearly communicated at the time of booking and will supersede the standard policy outlined here.

In general, promotional bookings may have more restrictive cancellation policies or may be non-refundable. Please review the specific terms of any promotion before booking.

If you have booked using a promotional offer and need to cancel, contact us to discuss your options. We will do our best to find a fair solution within the constraints of the promotional terms.

Dissatisfaction with Services

Customer satisfaction is our priority. If you are not satisfied with your art jam experience, please let us know during the session so we can address any concerns immediately. We find that most issues can be resolved on the spot with adjustments to guidance, materials, or environment.

If you are dissatisfied after the session, please contact us within 7 days with details about your experience and concerns. We will review your feedback and work with you to find an appropriate solution, which may include a partial refund, credit toward a future session, or other accommodation.

Please note that dissatisfaction with the artistic outcome of your personal work is not grounds for a refund, as the creative process naturally produces varied results. Our facilitators provide guidance and support, but the final artwork reflects your individual creative expression.

Artwork and Materials

Participants in our art jam sessions create their own artwork using materials we provide. Completed artwork belongs to the participant who created it, and participants are welcome to take their work home at the end of the session.

If you leave artwork behind after a session, we will attempt to contact you to arrange pickup. We will hold unclaimed artwork for 30 days. After this period, unclaimed artwork may be disposed of or donated.

We are not responsible for artwork damaged after the session ends, including during transport. We recommend allowing adequate drying time and using protective covering when transporting wet paintings.

Force Majeure

Neither party shall be liable for any failure or delay in performing obligations where such failure or delay results from circumstances beyond reasonable control. This includes but is not limited to natural disasters, severe weather, government actions, pandemics, epidemics, civil unrest, or other similar events.

In force majeure situations, we will work with affected customers to reschedule sessions or provide appropriate credits or refunds as circumstances allow.
